Springfield College is seeking application for the position of Executive Secretary. This position reports to the Director of Athletics. The Department of Athletics is composed of 26 varsity programs and 3 junior varsity programs, and as such is responsible to effectively screen and respond to numerous telephone calls and visitors to the office which includes coaches, students, campus staff, recruits, alumni, donors, and parents. Ensure the smooth day-to-day operation of the office, receive, open and route incoming correspondence; and initiate form letters for routine replies; and maintain all correspondence copies and files. Manage department budgets, fundraising accounts and grants. Prepare the Director’s expense reports, and ensure these reports are complete and accurate. Provide necessary secretarial support (word processing, scheduling appointments, logistical support for meetings, etc.); supervise student workers; manage personnel files; support the review, selection, and notification of Graduate Fellows hired annually by the department; and the issuing of coaches stipends.
High school diploma; (Associates degree preferred) and a minimum of five years of secretarial/administrative support experience, preferably in higher education; proficiency in Microsoft Office and familiarity with CX (knowledge of other software may be evaluated and considered); ability to organize and prioritize multiple tasks; effective time management skills and ability to work in a fast pace environment. A high degree of tact, interpersonal skills, and confidentiality are required due to the diversified duties and contacts which must be made representing the Director of Athletics and the College.
